The customer’s bank must normally notify them at least 24 hours before each debit.

Have you ever noticed how much time it takes for the money to reach your account after raising an invoice to your clients?

A recent study done by Recordent covered about 1.1 lakh Indian MSMEs and found that 82.6% of invoices give customers 30 days or less to pay. Yet payments in that study took an average of 73 days! That gap shows why the billing schedule alone does not guarantee timely payment.

Your billing cycle sets the day you ask for money. Your payment terms and collection method decide when you actually get it. Let’s look at how all three work together.

What Is a Billing Cycle?

A billing cycle is the fixed, recurring period between one invoice and the next. During the cycle, your business records what each customer buys or uses. When the cycle closes, you add all the charges and send the customer an invoice.

Many businesses bill monthly; the interval depends on their contract with the customer.

You’ll also see the terms ‘bill cycle’ and ‘bill period.’ Both refer to the period covered by a bill. But the other two terms that you might confuse it with on your invoice are these. So, you need to know what they mean and how they differ from a billing cycle.

Term

What it means

Example

Billing cycle

How often you send the customer an invoice

Every month

Payment term

How many days the customer has to pay after receiving the invoice

45 days

Due date

The last date by which the customer must pay a specific invoice

45 days after the invoice date

For instance, your business can invoice a client every month (as per the billing cycle) even if they’ve negotiated 45 days to pay each invoice. The billing cycle sets when you ask for money. The payment term sets how long the customer can take to clear it. For more on due dates and Net 30 terms, see this guide to payment terms. A credit card billing cycle similarly covers a statement period, while the payment due date comes later.

How Does a Billing Cycle Work?

Every billing cycle moves through the same six stages, whatever its length:

Track usage: Your billing system records what the customer uses or subscribes to during the cycle.

Calculate charges: When the cycle ends, your system calculates the total charges based on usage, your customers’ or clients’ plan, and/or the agreed rate.

Generate the invoice: You list every single charge in your invoice, viz., the taxes, services or item lists, payment terms, etc.

Send the invoice: You send it to your customer via email, post, or an online portal.

Collect payment: The client pays through an auto-debit system or the method you both have agreed upon.

Update the account: You mark the invoice as paid. By this point, your next cycle would already be running.

You can also choose when each customer’s cycle starts.

For instance, with calendar billing, you invoice every customer on the same date, like the 1st of each month.

With anniversary billing, each customer’s cycle starts on the same date as they signed up, if you onboarded them on 27th Oct, you’ll bill them on 27th Nov, and then consequently on the 27th of every month after that.

But what if you’re going with calendar billing for the client who joined you mid-cycle?

Well, in that case, you simply raise an invoice for the days they used your services in that first cycle, be it 10 days or 19. Then your next cycle syncs with the first of each month (or your decided date). This is called proration. There are other types of billing too; they’re discussed below in detail.

Also read: SaaS billing models explained: flat-rate, per-user, tiered and usage-based pricing

Indian Tax Rules That Set Deadlines Inside Your Billing Cycle

Your finance team also needs to track two GST deadlines:

When you must issue the invoice: GST law treats a recurring service contract that runs longer than three months as a continuous supply of services. For these contracts, you must issue each invoice on or before the payment due date written in the contract. If the contract has no ascertainable due date, you must issue the invoice before, or at the time, the customer pays you.

When you must upload the e-invoice: Since 1 April 2025, a business with an annual aggregate turnover (AATO) of ₹10 crore or more can’t report an e-invoice to the Invoice Registration Portal (IRP) once it’s more than 30 days old. So an invoice you raise at the end of a cycle must reach the IRP within 30 days of its invoice date.

Common Billing Cycles and Billing Models

Billing schedules and charging models differ in three ways: how often they run, when they start, and how the charge is calculated. Here are the common types and the businesses that use them:

Type

How it works

Commonly used by

Weekly or biweekly

You invoice every one or two weeks

B2C businesses

Monthly

You invoice every month (the most common standard)

SaaS, utilities, telecom

Quarterly or annual

You invoice every three or 12 months

B2B SaaS companies

Calendar-based

You invoice every customer on the same date

Businesses that process invoices in batches

Anniversary

You invoice each customer on their sign-up date

Subscription services

Usage-based

The charge depends on how much the customer used

Utilities

Hybrid

A fixed fee, plus a separate charge when the customer goes over a usage limit

Mobile service plans

Milestone-based

You invoice when the project reaches an agreed goal (event-based rather than a recurring cycle)

Manufacturing, construction, professional services

Seasonal

You adjust the cycle around busy and slow seasons

Retail, tourism, agriculture

Note: A payment term can be longer than the billing period. Milestone billing is based on an event, not a fixed recurring interval.

If you collect recurring payments by auto-debit, Cashfree supports two subscription scheduling options. A periodic subscription charges the customer on a fixed schedule. An on-demand subscription has no fixed period or amount, so it suits usage-based billing and bills that change every cycle.

How to Choose a Billing Cycle That Gets You Paid on Time

A shorter cycle brings cash in faster. But it also comes with its own issues. Your team has to raise a higher number of invoices, follow up more, and balance cash flow against the admin cost.

Use the following checks to settle on the cycle that’s right for you.

Keep Payment Terms Within the MSME Limit

Delayed payments add up fast. The government’s MSME Samadhaan portal tracks delayed-payment claims and now points new applicants to the MSME ODR portal.

The law sets a deadline for buyers. Under Section 15 of the MSMED Act, 2006, a buyer must pay a micro or small enterprise within 15 days if there’s no written agreement. If there is one, the agreed date cannot be more than 45 days after acceptance.

Tax law enforces this deadline.

If a buyer pays a micro or small supplier late, the buyer can claim that expense as a tax deduction only in the year it actually pays the supplier. This rule, Section 43B(h) of the old Income-tax Act, continues as Section 37(2)(g) of the Income-tax Act, 2025.

What this means for you:

If your business is a registered micro or small enterprise, write your payment terms into every customer contract and keep them at 45 days or less.

If you buy from micro or small enterprises, pay each invoice within the agreed term so your business can keep its tax deduction.

Also read: Overdue payment explained: meaning, late charges and prevention

Match the Collection Method to Your Billing Cycle

If you charge a customer the same amount every cycle, consider using auto-debit. It means that you don’t have to chase each invoice, and the customer only has to approve a mandate once. Your business can then debit the amount from the customer’s account on each due date automatically.

As per the RBI’s Digital Payments – E-mandate Framework, 2026, issued on 21 April 2026, you’ll need to follow three rules set for these debits:

Authentication: The customer authenticates when registering the mandate and again on the first debit. After that, debits up to ₹15,000 go through without extra authentication.

Higher limit: For insurance premiums, mutual fund subscriptions, and credit card bill payments, the limit rises to ₹1 lakh.

Advance notice: The customer’s bank or card issuer must normally notify the customer at least 24 hours before each debit. The notice shows your business’s name, the amount, and the debit date.

N.B. If the amount you charge changes every cycle, use an on-demand mandate where the payment method and consent support it. Or, just send each invoice with a payment link so the customer can pay online straight away.
